When working on a submission in Flowhaven users can respond to a submission in their court by:
- Adding new/revised designs
- Adding or editing details
- Commenting
- Re-submitting for approval
Before you start
If you are not sure how to create a submission or attach images as an external user, read How External Users Create a Submission.
Opening the design approval page
The first step is to navigate to the Design Approval page from the Licensing Suite home page.
Sometimes the submission you have sent to the team will come back with a request for revisions. To locate the submission, search by using the search bar and navigating to the submission of your choice. You may also use the filters by clicking on specific options or using a custom filter. For more information on the filter options please view the article on Working With and Managing Filters.
Note: You may also navigate to the submission in question from an email notification if you received one. If you are not subscribed to email notifications, please contact your Flowhaven Administrator for assistance.
Locate your Submission
To locate the submission:
- Search by using the search bar and navigating to the Submission of your choice
- You may also use the filter option
If you searched for a submission from the results page, click on the submission you are working on to navigate to the tool view.
Submission view
This is the Submission view. Below is a quick breakdown of the different areas in the tool view.
Stage:Identifies which stage the submission is currently in. For our example the submission is in Concept.
Status:Identifies the status of the submission. Our example is currently under Needs Revision.
Brand:The Brand of the Submission
Category:Product Category
Account:Account Name
Agreement:Agreement tied to the Submission
Stage Action:Actions you can take within the submission
Items:The number of items attached to this one submission.
Comments:Comments for the overall submission.
Details:Agreement details, Submission name, Account name, and all other details related to this submission.
Sample orders:When a physical sample is necessary, this is where the shipping information will be entered.
Related Submissions:If you linked any submissions together this is where you would find the related submission.
Submission Image View
Click on the image to view the details of the submission. You have now entered the submission image view of the item you selected.

- Downloading
- Compare Mode
- Uploading a new file
- Resubmitting
Comments
Here you can see an example of a licensor's pinned comment in the comment feed located in the right panel of the page. You can reply to the comment from the text box in the same area or add a new comment by clicking anywhere on the submission image.
To provide additional support or feedback in the form of a referenced image, you can also add attachments to the comments by clicking on the paperclip and dragging and dropping or selecting a file to upload.
Downloads
You can download your file directly from this view. The download option will give you the option to download the different versions in your submission.
From the top right click on the dropdown next to Download and select the file.
Compare Mode
Compare Mode gives you the option to compare the different versions of the submitted design image, view comments, download the images, and zoom to view details. You can make comments on the new version by clicking anywhere on the submission. The older versions are locked and can no longer be changed.
Click on the drop down next to the Version option at the top left of the submission. If you click Compare you will see a list of all previous versions.
Select the version you want to compare, this will compare the chosen version and the newest version. You can only compare previous versions to the newest version, you cannot compare an old version with another older version.
Please note a few things about the above view:
- Version three is the most current version of the image under review.
- There are zoom options to the right of both images.
- Comments for both of the images are visible. You have the option to Hide Comments.
- Version 2 has a drop down to take you to Version 1 and compare it to the Current version, in our example version 3.
- Once you are done with this view, you can click Exit Compare Mode to go back to the Submission View.
Uploading a new file
To re-submit a revised version of an image file from the submission view, click the button Upload New Version.
Important Note: If a revised image is requested, upload the revised image using the above instructions. Do not upload a new design image in the submission view.
Select the file you are uploading and the page will load the new file. The new version will be listed, and the status will change to Pending.
Re-submitting
Once the submission has been revised or new design image has been uploaded, you will need to formally re-submit it to send back for approval.
From the Pending drop down select Submit, your submission is now re-submitted.
Important Note:
Not selecting the "Submit" or "Re-Submit" button will leave the submission in your court and will not be sent for review.
Once you formally submit or resubmit, you can no longer make changes to the submission until the licensor and/or agent respond.
